Privacy policy
What we collect, why, and who sees it.
Effective October 27, 2026
- This website sets no cookies, runs no analytics and loads nothing from other companies.
- We use the information you send us only to prepare and support your filing.
- We never sell your information, and we never ask for your passwords.
What we collect
- From you: contact details (name, title, company, email, phone); building details (address, Washington Building ID, floor area, uses, hours); utility account numbers and energy use; maintenance records and equipment photos; billing details.
- From others, with your authorization: energy data from your utilities, and ENERGY STAR Portfolio Manager properties you share with us.
- From this website: nothing. The incentive calculator runs in your browser and sends nothing to us. Our hosting provider, Cloudflare, processes standard technical data (IP address, browser type, page requested) to deliver the site and block attacks.
How we use it
To estimate, prepare and coordinate your Tier 2 filing and incentive enrollment; to communicate with you; to invoice and keep business records; and to meet legal obligations. We do not sell or rent personal information or use it for targeted advertising.
Who receives it
- Our partner Qualified Energy Manager, to review, sign and submit. Partners are bound by written confidentiality terms.
- Your utilities, only under authorizations you sign.
- The Department of Commerce, through the filing your QEM submits.
- Service providers for email, file storage, payments and web hosting, which handle data only to provide those services to us.
- Others when required: to comply with law, to protect rights or safety, or to a successor if the business is sold, under this policy.
Passwords and shared access
We never ask for or store your Clean Buildings Portal, utility or Portfolio Manager passwords. You grant access through sharing features you control and can revoke at any time. Portfolio Manager is operated by the U.S. EPA under its own terms.
Security
Client files are kept in access-limited storage, available only to people working on your filing. If a security breach exposes your personal information, we will notify you without unreasonable delay, as Washington law requires.
Retention
We keep engagement files for the five-year Tier 2 cycle plus one year, so we can help if Commerce has questions, then delete them. Billing records are kept as long as tax law requires.
Your choices
- Copy, correction or deletion: email us. We reply within 30 days. We keep only what the law requires us to keep.
- Marketing email: reply “unsubscribe” or email us, and we will stop within 10 business days.
- Browser signals: we do not track visitors, so Do Not Track and Global Privacy Control have nothing to switch off.
Scope
Our services are for building owners and property managers. We do not collect health information, and this site is not directed to children.
Changes
We will post any change here with a new effective date.
